Virtual mailbox fees explained: estimate the whole bill
A monthly subscription is only one part of the bill. Build a quote around the work you expect the mailbox to do.

Separate fixed and usage costs
Fixed costs can include the subscription, extra recipients, and recurring add-ons. Usage costs can include opening requests, scanned pages, over-limit received items, forwarding handling, carrier postage, storage, pickup, and shredding. Ask which are included before adding them again.
Understand what the allowance counts
An incoming envelope, a content-scan request, and a scanned page are different units. A five-page letter may count as one incoming item, one request, and five pages. Ask what happens above each allowance and whether unused allowances expire or roll over.
Collect these quote details
| Cost | Question to ask |
|---|---|
| Subscription | Exact address, plan, billing interval, introductory period, and renewal price? |
| Scanning | Included requests and pages; overage unit and fee? |
| Forwarding | Handling per item or shipment, consolidation, and carrier postage? |
| Storage | Free period, daily charges, size/weight rules, and disposal deadline? |
| Setup | Activation, verification/notary, deposits, and optional services? |
| Cancellation | Notice, refunds, remaining mail, forwarding, and final charges? |
Use a clearly labeled example
Suppose your own quote is $20/month with $8/month of expected extra fees and $15 in one-time costs. The illustrative first-year total is 12 × ($20 + $8) + $15 = $351. At unchanged rates, the next year is $336. These are fictional worksheet figures, not a provider offer; taxes and other unentered costs are excluded.
Compare a realistic month
Estimate incoming items, pages, shipments, and storage days. Compare annual totals and the cash required upfront, not just advertised monthly equivalents. Bring actual quotes to the cost calculator; the shortlist shows published allowances and questions to resolve.
